For businesses that operate across multiple borders, a company’s ability to shape the human capital strategy and HR capability that is both globally consistent and locally relevant is crucial for success. UST Global, an American multinational provider of Digital, IT services, and solutions, currently operates across 25 different geographies which are spread across five continents. 

The company began its operation in the year 1999. As they were evolving, they did not just have to keep pace with the customer requirements but they needed to help their customers become leaders in their industry. To achieve this vision, it would require the workforce to deliver a high level of performance. 

“We wanted to make sure our employees have the access to each and every information irrespective of their working location so they can be most productive in their activities,” says Sunil Kanchi, CIO, and VP of UST Global.

In addition to this, the company made sure that HR service delivery model is optimized so that it can be managed centrally but delivered locally, thereby reducing redundant process work and increasing levels of HR efficiency.

Standardizing an existing HR Process:

The CIO worked closely with the company’s CHRO, Manu Gopinathan to make sure they enable their employees to succeed. Together, they created a roadmap of technologies they need to optimize the HR processes and accelerate productivity. As a result, UST Global shifted their focus from an on-premise HCM solution to a cloud-based one to re-imagine the entire employee lifecycle right from hire to retire. 

Why cloud?

Kanchi shares, “We have employees in 25 countries, but many of these employees work from customer locations, delivery centers across the globe, and many times from their home. So it doesn’t matter where they are located, we wanted to make sure that we can provide them with information and access to the system they need to perform their jobs. So, the cloud is an extremely important part of this journey or enablement for us.” 

The cloud platform was scalable and was available all the time. Instead of us managing the applications, the cloud platform managed the entire applications, customization, and upgradation itself. “For a global organization operating in 25 countries, it was challenging for us to bring an HCM solution which is available 24*7 hours because we have team members working 24 hours a day and an HCM platform on cloud truly enabled us all the time,” says Kanchi.

To ensure maximum effectiveness and efficiency, the company worked together to make sure that there would be at least 30-40% improvement in the processes and then deploy the new technologies. Switching to cloud solutions necessitated standardization. Behaviorally, it brought discipline across teams.

Also, the cloud solution enabled UST global to offer digital features that helped to integrate the existing solutions like the Bots, CRM, etc. which enabled them to arrive at a solution faster.

Impact:

  • In the first phase of implementation of cloud-based HCM solution, UST Global addressed recruitment, onboarding, and talent management. The company brought down the onboarding time by 50%

  • The overall employee as well as customer satisfaction level improved. The platform enabled them to cut 30-40% time to perform the same activity

  • The company was able to bring in a lot of standardization and discipline across HR processes and at the same time a lot of flexibility and freedom for the employees

The deployment of cloud solution enabled the company to foster a technology mindset in the workforce. “As we shift from traditional technologies to more digital technologies, we wanted our employees to reflect that digital mindset. So we leveraged the tool as an enabler to accelerate those behavioral changes within the employees.”

Standardizing the existing HR processes is a common goal for many organizations. It has many advantages like increased productivity, cost reduction, easier reporting and increased visibility and transparency on HR processes. Cloud brings necessary standard best practice processes to manage workforce and HR processes in a much better way.
