A step-by-step guide to designing an employee volunteering program

“I like my company, but we are not solving problems for the society. We’re not curing disease, addressing climate change or helping our country to achieve a better literacy rate. Our organization’s fulfillment comes from the momentum we build as a company by hitting new milestones: hiring a certain number of employees, achieving revenue goal, or bringing on new clients,” stated Rohan, a 27 year old IT engineer working in an MNC while he was having a conversation with his colleagues about how he felt about the organization.

Time-crunched employees are increasingly looking out for purpose-driven work and making an impact to the business, people, and society.

Now, consider the following experience shared on the Microsoft blog by one of their Seattle-based technical account manager, Anne Disabato. She shares, “One of the reasons that I wanted to work for Microsoft was because they are such strong corporate citizens. Through Microsoft, I got an opportunity to volunteer for a program that was geared toward someone like me, someone new to the community who wants to volunteer but is not sure what commitment level they are ready for. For me, that was a good way to sample things and figure out where I fit in.”

Commenting about employee volunteering for causes, she shares “A lot of young people who work at Microsoft are focused on their work, but we are gifted with the ability to understand technology and even in small doses, we can use that to make a huge impact on our communities.” She adds, “Employee Giving Program is a powerful opportunity to help people who need it. It’s incredible to have a company culture that not only encourages you to give back but will fund it. You can find what you’re passionate about, and just go for it.”

Time and again it is proved that volunteering is good for an individual's soul and provides many benefits to both mental and physical health. Now, it turns out that it is also useful for employees’ engagement and career. It creates a win-win situation for People, Planet, and Businesses.

Why Employee Volunteering?

Planning a Volunteering Program

 Elements of Volunteering Program:

  • Skill-based volunteering: This volunteering refers to leveraging the specialized skills and talents of employees to strengthen the infrastructure of nonprofits, helping them build and sustain their capacity to successfully achieve their missions. E.g., working with an NGO to develop their website
  • One-time volunteering: Any practical tasks completed by a group of employees. E.g., Painting a school or building a school
  • Time-based volunteering: Dedicating fixed time on in a week/month to support a dedicated cause that the employees support. E.g., mentoring a child
  • Partner implemented: Onboard a partner who has NGO tie-ups that can provide your workforce with multiple opportunities for volunteering.
  • Self-Implemented: The opportunities can be provided to the employees based on the specific cause areas you believe in and accordingly partnering with NGOs
  • Volunteer time-off policy: Volunteer time-off is the specific number of hours per year for employees to volunteer in the community which is independent of the company-sponsored volunteer days and weeks of service. Decide whether you would want to allow some time from the weekdays or restrict it to weekends.
  • Eligibility and approvals on causes, dates and time for volunteering, manager approvals on volunteering, etc.
  • Guidelines on activities and roles of partnerships with NGOs and other implementation partners.
  • Administrative support information like logistics, food, materials, etc.
  • Health & Safety guidelines that include trainings, precautions, and approvals from leadership and other decision-makers.
  • Plan a reward & recognition strategy at various levels and decide on the type of rewards, delivery, etc.
  • Implementing a high-impact volunteering program is a gradual process that matures over a period of time. Abhishek Humbad, Founder of Goodera, an employee volunteering platform shares, “As the workforce is evolving, the employees are looking to ‘Work with the purpose which goes beyond just business or skill specific contribution. Assessing employee preferences, giving them a sense of the program ownership and crafting meaningful experiences engages employees deeply. Employee volunteering also helps employees relate better to the company values and culture. Volunteering programs that encourage soft skills’ learning, employee fitness, and personality development along with social good are more sustainable in the long run.”
